What operators ask before they hand us a fleet.

What is fleet document compliance software?

It is the system of record for every document a fleet has to keep valid — vehicle registration, insurance, emissions, inspections, driver licences and permits. Instead of binders and chat threads, each document is stored against its unit or its driver with its expiry date, so the system can warn the responsible department before the date passes and prove compliance afterwards. DocVigia adds the step most tools skip: it checks those same documents again at the gate, when the truck is about to leave.

Which vehicle and driver documents does DocVigia track?

The Mexico catalog ships with circulation card, dictamen, insurance policy, emissions report, plate sticker, physical-mechanical sticker, emissions sticker, front and rear plates, driver licence, Carta Porte and hazmat safety permit. Which of those a given unit needs is a matrix you control — by unit type (tractor, dry trailer, refrigerated trailer, thorton, dolly) and by trip type (local, domestic, cross-border, hazmat). Document types, custom fields and the matrix are all editable, so a fleet outside Mexico defines its own set.

How does QR verification at the gate work?

Each vehicle carries a printed QR sticker. The guard scans it with the DocVigia app and gets one screen: GO or NO-GO, plus the document that caused it. There is no gate hardware, no barrier integration and no judgment call — the verdict is computed from the requirement matrix and the current expiry dates. Every scan is written to the gate log with the guard, the gate and the timestamp.

Does the gate check work without internet?

Yes. The guard app is offline-capable, so a scan still returns a verdict when the yard has no signal and syncs the event once it is back. Everyone else — dispatch, HR, legal, finance — works in a normal browser.

When do the expiry alerts go out, and to whom?

By default at 30, 15, 7 and 1 day before a document expires, by email. Recipients are not one shared inbox: you configure groups per document type — the insurance policy to legal, the driver licence to HR, the emissions sticker to fleet — with an escalation ladder if nobody acts.

Can it read the expiry date from a photo of the document?

Yes. Upload a scan or a phone photo and DocVigia extracts the fields — expiry date, plate, policy number — with OCR and a document-aware AI model, then shows you what it read before anything is saved. A driver can do this from a phone; nothing has to be typed into a spreadsheet.

Does DocVigia connect to SAT, SICT or VUCEM?

Not today. DocVigia stores and tracks the documents those processes produce — including Carta Porte as a document type with its own validity window — and tells you when one is about to lapse. It does not issue a CFDI, stamp a Carta Porte complement or file a permit renewal on your behalf. Direct integration with the government portals and with insurers is on the roadmap, and we would rather say so here than have you find out during onboarding.

How long does it take to get a fleet running?

Under an hour for most fleets, without help from us. A guided wizard sets up the workspace, a spreadsheet import brings in the whole fleet and its documents at once, and the QR stickers print from the platform. The free plan covers 10 vehicles for 30 days with no card.
